Intramural Loans (AMNH scientific staff)

1. For tissues owned by any of AMNH's departments (Mammalogy, Herpetology, Ichthyology, Invertebates, Ornithology)Intramural

All requests for loans of tissues owned by any of AMNH's departments must be submitted by email to the Collection Manager. Please note, however, that your loan request will be first forwarded to the appropriate AMNH department for approval according to the departments specific loan policies.

2. For tissues owned by the AMCC or request of loan by the donor/collector

All requests must be submitted by email to the Collection Manager.

Short Version
Send a signed letter (not email) as request to:
the AMCC Collection Manager
| What to write in the letter:
1. a list of the specimens requested , with AMCC ID #, AMNH department # (if applicable), genus and species
2. a project/assay/analysis description
3. your signature (if student, that of your supervisor)

THEN
The loan request is approved or denied by the AMCC
OR
The loan requets is approved or denied by specified AMNH department
THEN
If approved, the loan is sent out within 24 to 48 hours (depending on the size and/or eventual approval time from one of AMNH departments) with a loan invoice
THEN
The loanee sends back the loan invoice signed
THEN
After assays on the specimens, the loanee returns:
1. any remaining aliquot of the sample
2. all data generated from the sample
3. if applicable, GenBank accession numbers
4. if applicable, reprints

All requests for loans of specimens preserved at the AMCC require a formal contact between the Collection Manager of the AMCC and the loanee consisting in a formal, hard copy letter. The letter must be on institutional letterhead and state exactly which specimens are being requested as well as the purpose of study. The content of the letter should be sufficiently detailed to allow adequate evaluation by the AMCC Collection Manager. If the loaned specimens are vouchered outside of the AMCC, but preserved in the AMCC, a loan request must be submitted to the curator of the department or partner concerned.
A copy of the request is kept with all correspondence and paperwork associated with each loan and filed in the relevant Case Binder in which the loaned specimens records are kept.

Loans are granted for 6 months with occasional provision made for a 3 months extension. Only in exceptional cases will loans be granted for more than 9 months. All extensions will be evaluated on a case by case basis by the Collection Manager and must be requested in writing.
Loans are processed by the AMCC staff. Loanees are prohibited from any form of preparation of the specimens, unless specific written permission has been sought from and supplied by the Collection Manager prior to such activities. In this case, the loanee must submit himself to the protocols of 'AMCC visitors' (See AMCC Lab Protocol).

Destructive sampling of any of our materials requires written justification before the loan is granted. All applications for destructive sampling will be evaluated by the Collection Manager and other interested parties. Any left over from such procedures, such as DNA extractions, must to be returned to the AMCC.

International loans may require documents assuring immunity from seizure as well as complete documentation of any relevant permits regulating the transportation into, or out of, the loaness country of origin. Any failure to provide such documents will result in the cancellation of the loan.
